OVERVIEW
CampTrak software is a fully-networkable relational database
application suite.
The logical structure of CampTrak has been
developed with a vast amount of user input from people who
directly serve in camping organizations.
Each product and service is constantly open
for enhancement in response to user input. Each user is
encouraged to interact with our team and the rest of the
community of CampTrak users.
CORE DATABASE
The foundation of CampTrak is a unified data structure that
inter-relates all the contacts your organization needs to
communicate with. Each record in the database can be related to
user-defined groups including congregations, households,
families, schools, and custom groups you can define.
When entering information CampTrak quickly
enables you to link records to relate each individual to a
household’s common address. This allows the software to suppress
duplicate records during mailings so only one item is sent to
each household.
Because of the core database structure you can
see a snapshot of all activity for a specific family, including
all members’ registrations, event attendance, and donations.
Address standardization through the internet provides another
tool for increasing the integrity of your data. This translates
into fewer returned mail items and fewer outgoing items because
accurate addresses may be suppressed even further.
No more need for multiple databases around
camp for different types of contacts. You can track everyone, in
a common data structure, which allows you to have better data
integrity. Suppress duplicates, tie families together, group
contacts by congregations, regions, interests, or anything you
may need. This core database sits as the foundation for every
other module in the system. So if a person is a donor and comes
to a retreat and rents the facility for a family reunion, all
that information is accessible from his one record.
INDIVIDUAL REGISTRATIONS
CampTrak can be configured with an unlimited number of sessions
that are defined by week, program, grades allowed, ages allowed,
capacity, tuition amount, housing, and gender. Each record can
be registered and the transaction account managed in a very
flexible and user-friendly environment.
In just minutes a user can enter a new
household, register a camper, add a deposit, and print a
confirmation letter.
Your registrars can see a snapshot of your whole camp season on
one screen. This allows them to quickly find openings when a
parent is on the phone, or see areas where there is high or low
demand based on the number of people on the waiting list.
CampTrak also allows you to keep unlimited
historical information about your camp seasons. By doing this
you can understand a camper’s attendance patterns, program
choice preferences and you can understand how to design your
camp in the future based on data from the past.
Registration will never be the same. Define
unlimited blocks for a season defined by dates, age, grade,
gender, housing area, program, capacities and tuition amounts.
Each camper may register for many camps, and be on many waiting
lists. Each camp may have unlimited campers and waiting list
entries. We allow you to track all transactions related to each
registration separately. You can create custom confirmation
letters (even through email). You may assign cabins and
counselors and print unlimited custom reports. Then, when it's
all over, you can archive all of the information to history for
later reference. "What was your counselor's name in 1996? Let me
check, it's right here... Kevin Right... by the way, the cabin
you stayed in was 'Port Arkansas'..."
GROUP EVENTS/RENTALS
Most organizations provide facilities and programming for group
style events.
These events may be handled by registering
small groups like families or church groups for events that
require contact and payment from multiple sources (group
events).
Some events may be coordinated by a single point of contact,
such as a church sponsored or corporate retreat (group rentals).
Each event/rental may be assigned activities,
resources, meetings, meals, staff, and housing. CampTrak
features global reporting that allows you to see your schedule
broken down by housing, staff, department, resources, etc. The
system also allows multiple unlimited rate structures and
activity definitions.
A group rental is a situation where one
contact is bringing a big group and handling all of the payments
and scheduling. You may or may not even know the guests names. A
quick view camp schedule shows all group rentals, group events,
and individual registration information on one calendar so you
can easily book new groups.
A group event is when one contact schedules
the event, and may cover some costs, but the guests register for
the event. They can register as individuals or groups. A good
example of this is family camp. Group events may be internal
(family camp) or external (family reunion). A quick view camp
schedule shows all group rentals, group events, and individual
registration information on one calendar so you can easily book
new groups.
DONOR MANAGEMENT
Your constituency is counting on you to handle their information
with a high amount of integrity, accuracy, and value. CampTrak
accomplishes this by allowing you to track the gifts and pledges
from any source over any length of time. Each gift contains
information about the date, amount, category, campaign
involvement, response source, and relationship to fulfilling
pledge promises.
Full marketing toolsets are at your disposal
to allow focused intimate communications with your valued
relationships.
It just doesn't get any easier. You will be
able to enter: one-Time gifts, non-cash gifts, pledges,
reminders, campaign tracking information, category (fund)
assignments, as do reporting. You can learn to enter gifts in
minutes and be sending out custom gift receipts by the end of
the day!
